Overview: The Program Lead – Future Global Leaders is responsible for maintaining the day-to-day operations of UBC Camps overnight programming and administration within the Department of Athletics and Recreation, and in collaboration with UBC Extended Learning. Overnight programs, specifically Future Global Leaders, operates during July and August, with hiring and logistics and other program preparation taking place from January to May. Reporting to the Manager, UBC Camps, the incumbent will be responsible for planning, implementing, and evaluating Future Global Leaders non-classroom activities to ensure they are safe, student-focused, profitable, and successfully delivered. The Program Lead will also supervise a variety of student staff from May to August.
Basic Functions: The Program Lead will be responsible for ensuring smooth delivery of students’ extra-curricular and cultural activities, airport shuttle logistics and communication, and the hiring, training, and continued development of student staff. The position works in partnership with Program Staff (UBC Extended Learning), and reports to the Manager, UBC Camps, Athletics and Recreation. Duration of program is from June 30 – August 10, 2024; position is from January 15 – August 23, 2024. All interested candidates must be available for the entire duration of position. Please note, this position requires evening and weekend work during July and August.
Work Performed:
- Coordinates the collection, tracking and executing of all necessary program documentation in collaboration with UBC Extended Learning; including, but not limited to, consent forms, pick up permissions, and media consent.
- Attend, lead, and participate in pre-program training (tentatively June 24 – 29, 2024)
- Supervise program logistics with various campus and community partners
- Recruit, hire, and train coordinators and live-in monitors (early-March)
- Supervision of coordinators and live-in monitors
- Supervise the check-in & check-out process of resident students
- Meet with coordinators and live-in monitors individually on a regular basis to provide feedback and conduct performance reviews
- Lead daily meetings with student staff
- Review daily log book entries and follow-up with student staff, as needed
- Meet with Camps Manager regularly to provide updates
- Provide exceptional customer support to program participants and parents
- Ensure safety of students throughout the day
- Attend to student concerns
- Ensure students and staff are abiding by residence rules and regulations
- Address misbehavior or misconduct by students as needed
- Act as a mediator between monitors and students and exercise authority in crisis/conflict intervention situations
- Answer parent or student inquiries via phone, e-mail, and in person
- Available on evenings and weekend in an on-call capacity during July and August
- Inventory counting and checking
- Perform minor website updates as required
- Attend all mandatory staff meetings
- Perform other duties as necessary, or as assigned
Qualifications:
- Experience working with youth ages 12-18 in group settings
- Experience working with culturally diverse youth
- Experience managing and balancing a budget
- Familiarity and knowledge about both UBC and Vancouver
- Experience in live-in or international program situations, preferably in a supervisory role
- Experience supervising staff & volunteers
- Ability to adapt to new situations, and be flexible with change
- Enthusiastic, self-starter, organized and responsible
- Proven ability to learn quickly
- Writing, editing, communication and project management skills
- Ability to work in a team environment and independently
- Ability to initiate, learn quickly, and exercise sound judgment
- Strong working knowledge of MS Word, Outlook and Excel
- Excellent problem-solving skills
- Excellent time management and organizational skills
- Excellent written and oral communication skills
- Ability to provide current Criminal Record with Vulnerable Sector Check
- Ability to use personal cell phone, including data, for work purposes.
- Current Standard First Aid and CPR-C/AED certification
- Ability to speak Mandarin or Cantonese an asset
- Valid Class 5 Driver’s License an asset
- Valid Class 4 Driver’s License an asset
Supervision Received:
Reports to the Manager, UBC Camps – Athletics and Recreation. Interacts with other department and campus units, in addition to Athletics and Recreation, as well as program partners with UBC Extended Learning, other campus and community partners and external vendors.
This position reports directly to the Manager, UBC Camps. This position works both independently and in a team environment. The employee works under a set of policies and procedures and is expected to defer to the supervisor when any judgment or decision making outside these parameters is required. The role maintains regular contact with the supervisor through email, phone and in-person interactions.
Duration of Position: January 15 – August 23, 2024; full-time hours, in-person position. Remote work is not an option.
Salary: $3,900 – $4,200 monthly, depending upon qualifications and experience.
