Helpful Hints for 2024 Sports Day

Faculty & Staff Sports Day is almost here. Read on to find out about what’s new, what’s changed, and helpful tips for you and your team to have the best possible experience.

Preparing for Event Day

  • A new location – Sports Day is moving to a new south campus location. Use the updated course map to familiarize yourself with key locations or check out the individual facilities for additional details.
  • Attire – The forecast for Sports Day is promising but with some activities occurring outdoors and travel required between buildings, please consider the weather conditions.
    • Layers of clothing that can be added or removed
    • Sunscreen & costumes are also highly recommended
  • Travel light – A bag check is available after your event day check-in, so we encourage teams to combine their belongings. During the event, we recommend carrying:
    • At least one phone or mobile device per team
    • A reusable water bottle to stay hydrated – water stations are located throughout the event course
    • NOTE: UBC Card or other photo ID is required for event day check-in, but not during the activity portion of Sports Day
  • Make a plan – Review this year’s list of activities – be sure to check out the various locations and activity levels. Use this information to plan out an adventure that will work best for you and your teammates.

Activity adaptation & modifications – In addition to varying levels of physical activity for each station, activity leaders are trained to provide adaptations and/or modifications so that an activity is fun, empowering, and comfortable for everyone. If you or a teammate does not wish to participate in an activity, there is no requirement to take part.


Event Day Check-In

Friday, May 3 | Doug Mitchell Thunderbird Sports Centre – Wesbrook Mall Entrance

  • UBC Card or other photo ID is required for each team member to complete check-in
  • Check-in is available up to one hour prior to the scheduled start time of each session:
    • Time slot #1: 12:00-2:00pm – Check-in available starting at 11:00am
    • Time slot #2: 2:00-4:00pm – Check-in available starting at 1:00pm
  • Please plan to arrive for check-in at least 30 minutes prior to your desired start time. Allot additional time if:
    • A member of your team has not completed their online waiver
    • Adding a new member to your team
  • At check-in, each team will receive the following items:
    • Wristbands for each team member – please ensure these are worn until you’ve reached the après portion of the event
    • Activity passport – track your progress both for competition and the best spirited teams
  • After check-in, teams may proceed to the start area on their own or be escorted by a marshal five minutes prior to the start of each time slot.

Waiver Reminder

All participants must complete a waiver prior to participating in Sports Day. If you or a team member have not completed the online waiver, please do so before event check-in to expedite the process.


Event Day Information

UBC Vancouver’s Sports Day is moving to a south campus location, so be prepared for activities at the Doug Mitchell Thunderbird Sports Centre, Thunderbird Park, the UBC Tennis Centre, and UBC BodyWorks Fitness Centre. Important Locations

Competition Format

  • Competitive Teams: Complete as many activities as possible within the 1.5-hour timeslot. Teams must hand in their passport at the finish line before the deadline for each respective time slot:
    • Passport deadline for time slot #1: 1:30pm
    • Passport deadline for time slot #2: 3:30pm
  • Just-for-Fun Teams: Have fun! Complete as few or as many activities as you want, but be sure to cross the finish line by 1:30pm or 3:30pm.
  • Spirit Award: All teams are eligible for the Spirit Award, so rock your best costumes, cheer loudly, and have fun! Staff will award stickers to help determine the Spirit Award winners.

All activity leaders will be prepared with modifications for their activity to ensure that all activities are accessible for everyone. Or you may opt out of any activity that you don’t feel comfortable participating in.

Health & Safety

If you or a member of your team is feeling unwell, please do not attend Faculty & Staff Sports Day. Teams may replace a team member or activities can be adapted to accommodate persons unable to participate due to illness.


FAQs

How do I add someone to our team or replace a member of our team?

Additional team members or replacements can be added during the event day check-in. New team members must provide a UBC employee ID and complete the waiver in order to participate. Please arrive early if you require any roster adjustments.

No further action is required if a team member is no longer participating.

My team is no longer able to participate, what should I do?

Please email sports.day@ubc.ca to remove your team from the schedule.

What do I do if I or my team shows up late?

Please ensure that you visit the event check-in – our staff will get you out on course as quickly as possible, but we do require that all individuals check-in prior to participating. Please note that late arrival will affect the available time for activities as the course is only open for 1.5 hours.

Are accommodations available for any of the activities?

Accommodations and adaptations can be made for most aspects of the Sports Day program. When completing the online waiver, there is a prompt to share additional information that will aid staff in providing an inclusive experience including activity modifications, dietary adjustments, and accessibility measures.
